TERMS AND CONDITIONS
 
A completed “Vacation Rental Agreement” is required after we have received your deposit. Review and acceptance of the Coastal Accommodations Terms & Conditions which is made part of this rental agreement is required.

RATES:
Rates are quoted on a per night, per week or per month basis as noted. Unless specified, check-in time is after 4:00 p.m., and checkout by 9:00 a.m. (peak season) or 10 a.m. (shoulder season) on the day of departure. Rates are quoted per house dependent on bedroom count (1 bedroom, 2 bedroom, 4 bedroom, 5 bedroom). Charges vary and are subject to change.
 
ADDITIONAL CHARGES (NOT included in rate):
Rates do NOT include daily maid service (unless noted), gratuities, car rental, food, liquor, personal items, excessive cleaning upon departure (i.e. upholstery or rug shampooing, etc.). We are happy to provide quotes as a part of concierge services for any extra requests. Additional housekeeping, outside of the originally charged cleaning fee upon booking, starts at $75 a visit.

If our housekeeping staff has to spend extra time cleaning your rental upon departure due to negligence, pet hair/damage, or any other reason, we have the authority to charge you an additional cleaning fee of up to $300. If you are staying longer than 30 days, we urge you to consider a monthly or bi-monthly clean at $95 a clean to ensure all remains manageable.
 
RESERVATIONS AND PAYMENTS:
Payment of the applicable 50% Rental Deposit amount together with a signed rental agreement must be received and approved by Coastal Accommodations before a confirmation will be issued. No grace period will apply. Final payment, consisting of the remaining balance, must be received by Coastal Accommodations at least thirty (30) days prior to guest arrival (or immediately if booked less than thirty (30) days in advance of guest arrival). Failure to make final payments on a timely basis will make reservation subject to automatic cancellation.

MANDATORY CITY TAXES:
All reservations will be subjective to a 3% service fee, 8% Virginia Beach Transient Lodging Tax and $2/night Virginia Beach Transient Lodging Nightly Tax.

MAINTENANCE:
We have a maintenance team available for any repairs or emergency calls should anything not be working properly. Please keep patience in mind during your stay. We will work together to get things up and running. If there is any reason we need to enter the house for maintenance purposes, Coastal Accommodations has the right to enter the home after notice is given to the tenant.

EVICTION:
Coastal Accommodations holds the right to evict a tenant for any illegal activity, disruptive behavior, excessive noice, vandalization or intentional damage to property, or any other breach of rental agreement as seen here.

FAMILY-FRIENDLY POLICY:
We have a family-friendly group policy where we require guests to be 25 years of age to sign the rental contract and receive keyless entry instructions. We do not rent to high school or college party groups unless otherwise approved prior to booking. Misrepresentation could result in eviction by the owners.
  
CONDITION OF RENTAL:
The property shall be in the same condition upon departure as at check-in. Normal wear and tear excepted. Owner or its agents may enter the property at reasonable times to make repairs or provide maid service. Guest may cook in areas specifically designated for cooking. Guest must immediately notify Owner or agent of fire or other damage to property. Guest shall be liable for all acts of the family, invitees, employees, or other persons invited onto the property. Guest may not sublet or assign this rental agreement. Guest shall abide by the House Rules of the Owner, Property Manager, Condominium Association and/or the Booking Agent as provided to Guest. Guests shall not bring any pets onto the property unless previously approved by landlord/property managers. Guest will not smoke indoors. Guest will rinse feet of sand prior to entering the unit. No parties shall be allowed without prior consent. Additional charges may apply. No catering or outside music permitted without prior consent, additional charges may apply. Guest understands that there are certain inherent risks to person and property located near the ocean, including the possibility of drowning. Guest acknowledges that the owner would not rent the property unless the Guest accepted this condition.

PET POLICY:
For those properties that allow pets, the following terms apply. Guests are responsible for cleaning up all exterior areas. Owners and managers have the authority to use their discretion in regards to pets permitted on the property. Guest agrees to no loud or noisy animals including excessive barking, jumping, scratching, whining or any other sound. No vicious or dangerous dogs allowed. Guest must be able to control pet at all times and pet must be restrained (leash) at all times when not in the house. Any odor resulting from any pet is considered a nuisance and is strictly prohibited. Guest assumes all responsibility and is strictly liable for any and all amount of any injury to any person or property as a result of the pet or it's actions and the guest shall indemnify owner for all costs of litigation and attorney's fees resulting from the same. No pet is permitted to urinate or defecate on any unprotected floor. Guest agrees to clean up after dogs immediately and properly dispose of all waste into nearest outdoor trash receptacle. Guest may not abandon the pet or leave it for an extended period of time. Guest understands that these points are subject to change as deemed necessary by owner and managers. A pet fee of $75 (plus tax) will be required for pets. Please use the couch covers if pets plan on using the furniture with their owner. Any damages incurred by the pet, whether it's a urination smell and associated costs or ruined furniture, the owner/guest holds responsibility for those repair costs.

DAMAGE PROPERTY PROTECTION PROGRAM:
Guests are required to pay a $59 flat fee in the first portion of their payment to cover potential damages (not including pet damages) to and/or loss of items from the Property. This fee considers risk mitigation and protection for both Coastal Accommodations and the guest. We have partnered with an insurance company who provides $1,500 worth of damage protection for a $59 flat fee upon booking. It is extremely important the guest notifies us should there be any accidental damages prior to departure, otherwise all damage costs will be the responsibility of the leaseholder. We are given 15 days to file a claim and 45 days to actually fix it, but the quicker we know, the faster we can solve the issue! All of our properties are NON-SMOKING. If we find that there has been smoking in the property, an air quality fine of up to $1500 will be charged to the departing guest. Plus any other costs that may occur to clean the property from smoke damage. 

CITY ORDINANCES:
Our townhomes are in close proximity to our neighbors. It’s important that all guests adhere to the city quiet hours: 10 PM – 8 AM. 

WHAT WE PROVIDE:
All properties represented by Coastal Accommodations come fully equipped with television(s), private parking, laundry, linens, towels, dishes and utensils and an initial supply of shower essentials and paper goods. Other amenities vary per property. We provide two towel sets per bedroom. We provide a starter kit inclusive of toilet paper, a paper towel roll, a few trash bags, shampoo, conditioner, soap, lotion, bed linens, one set of bath towels per person, iron, ironing board, cookware, china, silverware, grill with propane, WiFi, basic cable, board games, TVs, vacuum, laundry detergent, dishwasher detergent, dish soap and hand soap. WHAT YOU NEED TO BRING:
We supply a small amount to get you started. The rest is up to you! The grocery store is a hop skip and a jump away. We’re happy to provide more toilet paper and anything else needed in a grocery delivery order if you are interested. 

HOW FAR IS THE BEACH:
Both of our properties are located approximately three to four blocks from the 22nd Street boardwalk access and beach. It’s about a three to five minute walk!

EVENTS:
We prefer you hold large dining gatherings, events and get-together’s elsewhere. Caroline has eight years of event planning experience and she is happy to help facilitate any planning and advice on affordable, available venues as alternatives to our home.

LIMITATION OF LIABILITIES:
Under no circumstances shall Coastal Accommodations be responsible for any loss, expense, damages, claims or injury direct, indirect, consequential or otherwise whatsoever, howsoever caused or incurred whether arising in contract or otherwise in law or equity as a result of rendering of the services or accommodations as described or substituted and including, without restricting the generality of the foregoing as a result of any delay(s), substitution(s), rescheduling(s) or change(s) in the provision of services or land accommodations by Coastal Accommodations or by reason of military actions, revolution or acts of God, government agencies, or unforeseen circumstances or events, by any agents, owners, employees, subcontractors, servants or services as substituted; Coastal Accommodations, at all times will act in good faith and use its best efforts to substitute with accommodations or services of a type as comparable as possible to those contracted. Coastal Accommodations will not be liable under any circumstances, including substitutions, to refund any unused portion of booked accommodations or services. Some activities in which guests engage are especially dangerous and include scuba diving, snorkeling, deep-sea fishing, boating, golfing, swimming, boogie boarding, surfing, hiking, biking and mountain climbing. This list is not all-inclusive, but indicates some of the hazards of vacationing in Virginia Beach. Guests may also encounter the following risks: slippery floors and stairs, especially when wet, lanais with spaces between rails (dangerous for little children), precipitous drop-offs on ocean floor, unfenced pools, faulty electrical or plumbing systems, gas BBQ grills, clean/clear sliding glass doors, and dangerous stairs or pathways, Therefore, each guest agrees that he/she is voluntarily participating in any and all activities, risks, and use of the accommodations, and hereby assumes all risk of injury, illness, damage or loss to person and property that might result, including, without limitation, any loss or theft of personal property. By booking this house, you acknowledge that in all events and circumstances, Coastal Accommodations, its officers and employees shall not be liable. Coastal Accommodations reserves the right to cancel or rescind any rental agreement if it is found that the Guests are conducting unlawful activities, not abiding by the Owners House Rules, disturbing others by playing loud music, percussion, audio or instruments, or cause any loud or offensive noises, have made any misrepresentations about the nature or size of the group or use of the group or the use of the property or any other misrepresentations or any other way in breach of the rental agreement.
                      
HOLDOVER, ABANDONED POSSESSIONS AND SERVICE OF NOTICES:
If you stay in the unit, without written permission, after the Rental Agreement has ended, you will be a holdover tenant and may be liable for twice rent under the Rental Agreement on a prorated daily basis for each day you are a holdover tenant. If you leave any personal property, which we determine to be of value, we must contact you by mailing a notice. After 20 days, if you do not respond, we may advertise the items for sale or donate them to a charitable organization. If we have to give any notice to you, we can serve it to any occupant. By serving one of you, we have given notice to all of you. If we cannot deliver a notice to you, we may post the notice in a conspicuous place in or on the unit.
 
CHANGES TO A BOOKING:
An additional $50.00 administrative fee will be charged by Coastal Accommodations for any change to a booking after a Confirmation has been issued. Acceptance of any change is subject to approval by Coastal Accommodations.

CANCELLATION AND REFUNDS:
Cancellation of booking at any time after Confirmation has been issued may result in forfeiture of deposit(s). Cancellation within the 30-60 day period prior to check-in results in 50% refund + the 6% service processing fees but if given 60 days or more notice, you will receive 100% refund with the exception of a credit card processing fees (6%). If less than a 30-day period, Coastal Accommodations will has the authority to keep the full reservation balance paid. Under specific circumstances will Coastal Accommodations negotiate these terms. There should be no expectation of refunds or relocation due to something not working to your satisfaction. Unlike a hotel, sometimes appliances or electronics act up. We have a maintenance team available for any repairs or emergency calls should anything not be working properly. Please keep patience in mind during your stay. We will work together to get things up and running!
 
CATASTROPHIC EVENTS & EMERGENCY EVACUATIONS: 
If a catastrophe (hurricane, tornado, earthquake, flood, etc.) or any situation simply beyond our control impairs the vacation rental, Coastal Accommodations is not responsible for finding alternate lodging for the renter or for the renter's financial losses related to transportation or alternate lodging. There will be NO REFUNDS OR CREDITS FOR EMERGENCY EVACUATIONS. Whether you own property, run a business, or rent a condo in Virginia Beach, the threat of a hurricane, flood, or tsunami is always present during certain months of the year, and we all assume this risk. Therefore, we suggest you consider Travel Protection Insurance to secure your vacation investment and eliminate your financial risk. There will be no refunds of any kind for evacuations.
